Joining Your Organization

Use a join link from a leader to sign in, request to join a group, and get approved

Overview

This guide is for members -- people joining an organization that runs its website on Hubara. If a group leader has sent you a join link, it takes you from that link to being an approved member of the group.

The whole path is four steps:

  1. Follow the join link your leader sent you.
  2. Sign in on the Hubara ID sign-in page. You come straight back to a card naming the group.
  3. Click Request to Join.
  4. Add and confirm your phone number on your profile, so messages can reach you.
  5. Wait for a leader to approve your request.

Once you're in, see Your Profile and Contact Details for managing your email addresses, phone numbers and message preferences.

A join link is the organization's website address followed by /join?join= and the group's short code -- for example /join?join=north-team. Older links that use /login?join= instead no longer take you to the group: they open the ordinary sign-in. Ask a leader for the current link, or enter the group's code on your profile (see Joining another group from your profile).

When you open the link signed out, Hubara sends you to Hubara ID, the sign-in page shared by every organization on Hubara, branded with your organization's name.

Choose one of the three tabs: Email, SMS or Google.

Sign in with Email

  1. Click the Email tab.
  2. Type your address into Email Address.
  3. Click Send Magic Link. The card changes to "Check your email!"
  4. Open the email and click the link inside. The link expires after a short time, so use it soon.

If you open the link on a different device or browser from the one you asked for it on, Hubara shows Confirm your email address. Type the address the link was sent to and click Continue.

Sign in with a text message

  1. Click the SMS tab.
  2. Type your number into Phone Number, including the country code -- for example +1 for the US.
  3. Click Send Verification Code. You may be asked to complete a quick "I'm not a robot" check first.
  4. The card shows "Enter the 6-digit code sent to" your number. Type the code from the text message.
  5. Click Verify Code.

Sign in with Google

  1. Click the Google tab.
  2. Click Sign In with Google and choose your Google account.

What happens when you finish signing in

Hubara brings you back to the join link, signed in. Signing in on its own sends nothing: you see a Welcome Back! card with a box reading Request to join followed by the group's name. Click Request to Join. The box changes to "Your request to join" followed by the group's name and "is pending leader approval."

On your profile page, My Profile, the Group Memberships card lists the group under Pending Requests, with the date you asked and an amber Pending Approval chip.

Already signed in? Opening a join link while you're still signed in shows the same Welcome Back! card straight away. Click Request to Join to send the request.

Finished signing in in a different browser? If you opened the join link in one browser (say, inside your email app) and signed in in another, you may see You're signed in, but this account isn't connected to your organization yet. Open the join link again in the browser where you're signed in.

While you wait for approval

Add and confirm your phone before you sign out. You can do it right now, from the Contact Information card on the same profile page -- see Add and confirm a phone number. If you sign out first and signing back in shows You're signed in, but this account isn't connected to your organization yet., that means your request is still waiting for a leader's approval.

While you wait:

  • A pending request grants nothing yet. You can't see the group's members-only events, members or messages until a leader approves you.
  • Group messages start only after approval. Confirming your phone now means texts can reach you from the moment you're approved.
  • Requests expire after 30 days. If nobody has approved yours by then, see Troubleshooting below.

For more on what you'll see while you wait -- the chip, the expiry, and the limit on how many requests one person can send per hour -- see What the requester sees while they wait.

After you're approved

When a leader approves your request:

  1. If you have an email address on file, you get an email with the subject Welcome to followed by the group's name -- for example Welcome to Northside Team!
  2. Hubara signs you out. Sign in again to pick up your new membership.
  3. On your profile, the group moves from Pending Requests to Active Memberships, showing Role: Member and a green Active chip.

From then on, you receive the group's messages at your confirmed email addresses and phone numbers.

Signing in later

You sign in later the same way as the first time: through Hubara ID. Go to your organization's website and choose to sign in; Hubara sends you to the Hubara ID page and back again.

The Email option appears when Hubara ID knows which organization you came from -- which it does whenever you start from your organization's website or a join link. The steps for each method are the same as in Join with a link from a leader.

Joining another group from your profile

Once you're signed in, you can ask to join more groups from the Group Memberships card on your profile. You'll usually see one of these two options (if you've already joined or requested every group, the card reads "No groups available to join." instead):

  • A join-code box. The card reads "You're not a member of this organization yet — enter your group's join code to request access. A group leader will review your request." Type the group's short code (a leader can give it to you) and click Join.
  • Request to Join Group. Pick a group from the dropdown and click Request Join.

Either way, you get a green confirmation that your request is pending leader approval, and the group appears under Pending Requests. Codes don't care about capital letters or stray spaces -- see Group codes and join links for the rest.

Troubleshooting

Signing in shows "You're signed in, but this account isn't connected to" your organization "yet." Your request to join is still waiting for a leader's approval, or it has expired. Ask a leader in your group to approve it. The screen suggests asking for a "claim link" -- you don't need one; your request already exists, and approving it is all that's left. To check on your request in the meantime, open the join link again: it signs you in and shows the group card.

My request expired. Requests expire after 30 days. Follow the join link again -- ask a leader for it if you no longer have it. Signing in through the link brings you back to the group's card; click Request to Join to send a fresh request. If you happen to still be signed in, you can instead click Retry next to the expired request on your profile.

The sign-in card says "You already have a pending membership request for this group." Your earlier request is still waiting. There's nothing more to do except ask a leader to approve it. You are signed in, though: click Go to Dashboard to reach your profile and add or confirm your phone number while you wait.

Sign-in says "Verify your email address before signing in." The email address on your sign-in account hasn't been verified yet. Click Verify your email beneath the message, follow the steps, then sign in again.

The join link shows "Group with code … not found". The message appears in a red box where the Joining box would be. The group's code may have changed since the link was sent. Ask the leader for a fresh link. A link whose code is badly mangled shows no message at all -- it just opens the ordinary sign-in page -- and needs a fresh link too.
